Position: Administrative Assistant
Reports to: Program Director
Department: Tribal Child Support Services
General Summary Description:
Administrative Assistant is responsible for greeting all visitors, clients and individuals while presenting a good first impression of the Child Support Services Program, assist with visitor/client inquiries, whether in-person or on the telephone, direct to the appropriate office or individual, supply information regarding the program to all visitors, clients and individuals, a daily account of staff schedules in the office and general administrative and clerical support.
Duties & Responsibilities:
● Responsible for greeting all individuals entering the office and directing to the appropriate destination;
● Responsible for answering all telephone calls, identifying the caller, nature of the call and directing the caller to the appropriate person. If the person is unavailable, must take a detailed message from caller including but not limited to: name, phone number, nature of call, time of call and person called upon;
● Responsible for providing program information to clients, visitors, callers, the general public and assist the same with all inquiries;
● Responsible for performing general administrative and clerical support including but not limited to: draft letters, memos, email correspondence, reports and other program related documents, collect, sort, distribute all incoming and outgoing mail/packages;
● Responsible for scheduling appointments, maintaining a current client appointment calendar and a daily staff “in-office” schedule;
● Assist with the set-up and organization of all “in-office” meetings, i.e…ensuring meeting area is clean, amenities available and all necessary files, documents and equipment are set-up and ready;
● Must perform program mandated functions, including but not limited to: customer and community outreach, quality assurances, program improvement, training and any other function as requested by the Child Support Services Director;
● Must maintain complete confidentiality in accordance with our Employee Confidentiality Statement;
● Responsible for maintaining a neat and tidy reception area and all areas visible to the public;
● Any and all other duties as required and assigned.
Minimum Qualifications:
Education:
● High School Diploma OR GED;
Licenses & Insurance:
● Must have a valid Driver’s License;
● Must be insurable through 1FSIC auto insurance;
Training & Experience:
● 6 months training and/or experience in an administrative assistant role;
● 6 months of training and/or experience working in an office setting.
