HR Specialist
Position Title: Human Resources Specialist
Department: Human Resources
Reports To: HR Director
JOB SUMMARY
The purpose of this position is to provide administrative support for the functions of the Human Resources (HR) Department. The HR Specialist is responsible for providing strategic HR support in the areas of employee relations, compliance, compensation, training, upkeep of the HR database, and personnel file management. The HR Specialist is responsible for compiling, maintaining, processing and coordinating a variety of records, reports and information related to the HR function.
ESSENTIAL FUNCTIONS
A) Manages the HR database and records employee information such as: personal data, compensation, benefits, tax data, performance reviews/evaluations, and terminations.
B) Responsible for correct spelling, grammar/punctuation and professionalism in the development and distribution of personnel documents.
C) Receive, review and process personnel related documents from within the organization. When necessary, review and refer non-routine documents to the Human Resources Director.
D) Coordinates all facets of the recruitment and staffing function of the organization, including but not limited to, posting and advertising vacancy announcements, processing applications and hiring selections, coordinating background review, drug screening and onboarding of new employees.
E) Coordinates with the Payroll department as needed on relevant interdepartmental activities.
F) Prepare, file, compile, maintain and process reports and records related to HR.
G) Maintain personnel files to ensure information is complete, accurate and up-to-date.
H) Research and review of personnel and other files as requested.
I) Compile data, prepare and submit general HR reports.
J) Collaborates with the HR Director to effectively communicate various HR policies, procedures, standards, and regulations of the organization to employees and management.
K) Assists or prepares correspondence as requested.
L) Performs other duties as assigned.
MINIMUM QUALIFICATIONS
Education – A High School Diploma or GED is required. An Associate’s Degree in a relevant field is preferred.
Experience – A minimum of two (2) years relevant experience is required or an equivalent combination of education and experience. THRP Certification Preferred.
KNOWLEDGE, SKILLS AND ABILITIES
a) Knowledge of Seminole Nation Tribal government, organization, programs, laws, rules and regulations.
b) Knowledge of Federal and Tribal regulations and standards related to Human Resources.
c) Knowledge of HRMS including online recruiting, Microix MIP and related systems.
d) Ability to disseminate information in understandable language for management and staff.
e) Ability to establish operating procedures for completing functions of the Human Resources Department.
e) Ability to communicate and interact effectively with managers, staff members, prospective applicants, tribal officials and the public both verbally and in writing.
f) Ability to develop and complete position descriptions, surveys, comparative analysis and related activities.
g) Ability to work on sensitive issues with discretion and a commitment to confidentiality.
h) Ability to provide support/service to management in the full range of personnel operations including but not limited to staffing issues, policy and procedures, Workers Compensation, FMLA, FLSA, ADA, Title VII, etc.
i) Knowledge and skill to utilize a PC in a Windows environment.
j) Ability to maintain confidentiality of information as required.
k) Ability to work efficiently under pressure and organize work plans and priorities to assure timely submission of completed work.
WORK ENVIRONMENT
Work is performed in a typical interior/office environment. Noise level is usually minimal. This role routinely uses standard office equipment. Duties of the position may require occasional travel.
PHYSICAL DEMANDS
Position requires the demands of normal office work and traveling to other tribal facilities or to training. Position requires frequent lifting of up to 25 lbs.
