Executive Assistant
Position: Executive Assistant
Reports To: Executive Director
Department: Agriculture/Food Sovereignty

Job Purpose: Point of contact between ED and internal, external staff, and other persons. Assists ED with all administrative operations of Commodity Procurement Program and helps develop community training sessions for members to learn alternative growing systems and how to prepare meals for healthier eating of produce grown. Develops, implements, and administers office systems and procedures, policies, and maintains office operations.

Job Duties:
• Maintains calendar for ED and management team.
• Creates and maintains correspondence, filing systems, and inventory records.
• Assists ED in the promotion of community development activities to ensure that all sections of the community are aware of resources and opportunities.
• Supports the staff to arrange and promote events which enhance local community identity and cohesion.
• Assists with training, scheduling, and distributing work to others on the team.
• Produces reports and presentations for management staff.
• Writes minutes of all meetings.
• Handles basic bookkeeping tasks for internal control.
• Handles incoming and outgoing correspondence.
• Receives applications for CPP food distribution and sends letters out to schedule food deliveries.
• Develop surveys and disseminates into the community.
• Organizes recipient files, food inventory records, recipient delivery schedules and keeps weekly and monthly records for reports.
• Perform other duties as assigned.

• Excellent organizational and multitasking skills.
• Knowledge of privacy and confidentiality expectations.

Work Environment:
• Work is performed in an interior/office environment, outside food production facilities, and area community center areas.

Physical Demands:
• Normal daily routines.

Minimum Qualifications/Requirements:
• Associate’s degree in Business Administration, preferably Bachelor’s Degree and up to three years’ experience in business management.
• Experience in Word, Excel, Access and Power Point, QuickBooks or similar applications.
• Valid Oklahoma driver’s license with ability to meet Seminole Nation liability insurance requirements and maintain eligibility for insurance.
• Must be able to pass background check, with no prior convictions and/or felonies.
• Must be able to comply with the Seminole Nation Drug Free Workplace policies.
